Privacy Policy
Last updated November 1, 2026
This policy explains what the ConnectingERLC Network Discord bot ("the bot") stores, why, and what you can do about it. We keep as little as we can.
What the bot can't see
The bot doesn't have Discord's Message Content permission. It can't read normal messages in your server. Discord only shows it the text of messages that mention it or reply to it, and it doesn't keep a copy of those.
What we store
For each server that adds the bot:
- The server ID, and the channel IDs you pick in setup.
- Your server ad text, and who last edited it (their Discord user ID).
- An invite code the bot creates so other servers can join you.
- Bump counts and bump times, used for cooldowns, ranks and the leaderboard.
For people who use commands:
- Your Discord user ID and the time you last bumped, kept for up to 24 hours so cooldowns work.
- If you report an ad: your user ID, username, and the server you reported. This is sent to network staff to review.
We also keep basic logs of actions like joining, setup changes, ad edits and invites created, so staff can stop abuse.
AI chat and images
When you mention the bot or reply to it, the text of that message (and any image you attach) is sent to an AI provider to write a reply. Groq handles text and image understanding, and Cloudflare Workers AI (or Pollinations, as a backup) creates images. The bot doesn't save these messages. These providers handle the data under their own privacy policies. Don't send personal information to the bot.
The website
If you log in on connectingerlc.xyz with Discord, we store your Discord user ID, display name, avatar, and the list of servers you own or manage (only so you can apply with one). Login sessions last seven days and are deleted when they expire or when you log out. If you apply to be an affiliate, we keep your application, your server's public info from its invite, and the review result.
What we don't do
- We don't sell or rent your data to anyone.
- We don't collect emails, passwords, IP addresses or payment details.
- We don't use your data for advertising outside the network.
The welcome messages
When the bot is added to a server, it sends up to two direct messages to the person who added it, or to the server owner, with setup steps. It doesn't send any other DMs.
How long we keep it
Server data is deleted when the bot is removed from that server. Bump cooldown data is cleared within 24 hours. If a server is banned from the network, we keep its server ID and the reason so it can't rejoin.
Your choices
- Remove the bot from your server at any time to delete that server's data.
- Ask us in the support server to delete data linked to your user ID.
Children
The bot is only for people old enough to use Discord under Discord's own rules. We don't knowingly collect data from anyone younger.
Changes
If we change this policy, we'll update the date at the top of this page.
